WPCafe Integration: WPCafe is designed to help cafes, restaurants, and other food service businesses manage their online orders, reservations, and menu. It simplifies tasks such as accepting reservations, managing orders, and updating menus, all from within your WordPress site.

With Bit Flows, you can automate tasks related to WP Cafe, saving time and reducing manual work. When WPCafe is used as an action in Bit Flows, you can trigger workflows that automatically perform tasks based on specific events, like new reservations or orders.

For example:

  • When a new order is placed in WPCafe, Bit Flows can automatically send a confirmation email to the customer or notify staff through Slack.
  • When a reservation is confirmed in WPCafe, you can trigger actions to send reminder emails or update your CRM.


Setup WPCafe as Action – Step-by-Step Guide

To set WPCafe as an action in Bit Flows, first open your Bit Flows dashboard. Then, either create a new flow or open an existing one. In the Flow Builder, select a trigger first, for example, we’ve chosen Bit Form. Click on “Listen Response” and submit a form which captures data to run the automation for the next steps.

After that, click the plus (+) icon to add an action. From the list of available applications, search for and select WPCafe.

After selecting WPCafe as an action, you’ll see a list of available events for this action.

  • Create Reservation
  • Update Reservation
  • Delete Reservation
  • Get Reservation (By ID)
  • Get All Reservations
  • Get All Locations

In this case, we’ve selected the first event, “Create Reservation”. After selecting the event, a popup will appear, prompting you to map the fields.

Fill in the field values with data from your selected trigger apps (e.g., submit the form created in Bit Form). Once the fields are mapped, click on Test Run to check if the data has been recorded successfully. This ensures that the action is working as expected before activating it.

When you click the Test Run button, the output will be displayed just above it. However, please note that the Test Run results are not recorded in the logs.

You also have the option to test the full flow. To do this, you can either click “Listen Response” and then trigger the event (e.g., submit the form), or use existing data to test the integration and ensure everything works correctly.

After completing all the steps, click the Logs icon at the top-right corner of the Flow Builder to view your integration logs. The logs help you verify whether the trigger and action worked correctly, making it easier to spot and fix any issues that may arise.

That’s it! You’ve successfully set up an automation in Bit Flows to connect Bit Form with WPCafe. Now, whenever someone submits your form, a new reservation will be created in WP Cafe automatically, streamlining your booking process.
