How to Use the Repeater Tool in Bit Flows for Bulk Automation

Estimated reading: 4 minutes 997 views

In this documentation, we will guide you on how to use the Repeater Tool in Bit Flows to automate repeated actions efficiently. We will demonstrate setting up a workflow where a Bit Form submission with an email field triggers multiple email notifications. With the help of the Repeater Tool, five email notifications will be sent, and the Delay Tool will introduce a two-hour gap between each notification.

After reading this guide, you will understand how to configure the Repeater Tool for repetitive tasks and use the Delay Tool to manage intervals between actions.

By the end of this setup, when someone submits a Bit Form, you will receive five email notifications with a two-hour gap between each, ensuring better communication and smoother task automation.

Add Repeater Tool to a Workflow

Open or Create a Workflow

To add a Repeater Tool to your flow, you can either open an existing workflow or create a new one by setting up your trigger and actions. Refer to this documentation to learn how to create a workflow.

For this example, we already have a workflow named “BitFormEmailNotifications.” We will add a Repeater Tool to this flow to send multiple email notifications after a form submission. With the help of the Delay Tool, notifications will be sent at two-hour intervals for a total of five times, ensuring timely and efficient communication.

Add Repeater to Your Flow

To add a Repeater Tool to your flow, first navigate to the “Tools” section located next to “Apps.” In the Tools menu, you will find several tools. Drag the “Repeater” tool and drop it into your flow at the desired point.

Congratulations! You have successfully added a Repeater tool to your flow.

Link with the Repeater Tool

To connect the Repeater Tool with the trigger (in this case, Bit Form), follow these steps:

  1. Unlink any existing connection, if any.
  2. Connect the Bit Form trigger to the Repeater Tool.

This ensures that after a successful form submission, the workflow will repeat the desired action multiple times as configured.

Configure the Repeater

To set up the Repeater Tool, click on the repeater. This will open a popup where you can configure the repeater settings:

  • Repeat Count: Enter the number of times you want the action to be repeated. For instance, if you set the count to 5, the selected action will execute five times in the workflow.

For this example, we will set the Repeat Count to 5, ensuring that the email notifications will be sent five times after the form submission.

There are also advanced options available in the Repeater Tool to fine-tune your workflow:

  • Initial Value: This sets the starting point for the repetitions. For example, if you set it to 1, the repetition count will begin from 1.
  • Step: This defines the increment between each repetition. If set to 1, the action will execute sequentially. If set to 2, the repetition will skip one count between executions (e.g., 1, 3, 5).

To configure these advanced options, simply click on the “Advanced Options” section in the Repeater settings. After setting your values, close the popup by clicking the “Close” button.

Testing the Flow: Verifying Repeated Actions with the Repeater Tool

After setting up the Repeater Tool in your workflow, it’s essential to test the flow to ensure that the repeated actions are functioning correctly. Follow these steps to verify the setup:

  1. Link and Configure the Action: Ensure your action is linked and configured properly. For this example, I will configure the API request action to send email notifications and map the fields accordingly.
  2. Add and Configure the Delay Tool: To introduce intervals between repeated actions, add the Delay Tool and set it up for two hours. If you’re unsure how to use the Delay Tool, refer to the Delay Tool Documentation for guidance.
  3. Test Flow Once: After configuring the action, click on “Test Flow Once” to test the entire workflow.
  4. Run the Trigger: Trigger the event, which in this case is the “Bit Form Submission” with an email field.
  5. Verify Repeated Actions: Ensure that the configured number of notifications (e.g., 5 times) is triggered with a two-hour gap between each action as defined by the Delay Tool.
  6. Check the Logs: Once the test is complete, check the logs in Bit Flows to confirm whether the repeated actions were executed successfully.
  7. Verify Email Notifications: Finally, check the email inbox to confirm that the notifications were sent the correct number of times at the expected intervals.

By following these steps, you can confirm that the Repeater Tool works properly, and the workflow performs the repeated actions with accurate timing as expected.
