WhatsApp Integrations: Use WhatsApp Messenger to stay in touch with friends and family. WhatsApp is free and offers simple, secure, reliable messaging and calling, available on phones all over the world.

In this guide, you’ll learn how to integrate Bit Form with WhatsApp, where Bit Form acts as the trigger and WhatsApp is the action. Once the integration is complete, a new subscriber will be automatically added to your WhatsApp list every time someone submits your form.

This beginner-friendly, step-by-step tutorial is designed to help you set up your first automation with ease—enabling you to grow your subscriber base, streamline communication, and manage contacts directly from your WordPress site.

Authorization of WhatsApp Integrations as Action

To set WhatsApp as an action in Bit Flows, first open your Bit Flows Dashboard, then either create a new flow or open an existing one. In the Flow Builder, click the plus (+) icon to add an action. From the list of available apps, search for and select WhatsApp.

After selecting your preferred action, the next step is to choose an event. For example, in this case, we’ve selected the “Send Message” event.

Here, you can either select an existing connection if you’ve already created one, or create a new one by simply clicking the “Add connection ” button.

When you click the Add Connection button, you’ll be prompted to enter a name for your connection. Simply type in the name and put your Business ID, Phone Number ID and Token click connect. To get your WhatsApp Value/Bot API Key, follow these steps:

Create a Business app​

If you already have a business portfolio, select it. If not, choose “I don’t want to connect a business portfolio yet.”.

To create a permanent access token, you must create a Business Portfolio. WhatsApp will provide a temporary access key that is valid for 24 hours.

  • Go to Facebook Business Profile: Start by visiting your Facebook Business Profile.
  • Click on Your Profile Icon: At the top-left corner, click on your profile icon.
  • Create a Business Portfolio: Select “Create a Business Portfolio.
  • Enter Portfolio Details: Provide a name for your Business Portfolio, then enter your first name, last name, and business email.
  • Create the Portfolio: Click on “Create” to finalize the portfolio setup.
  • Select Assets to Claim (Optional): Choose what you want to add to your business portfolio, or skip this step if you prefer
  • Add People (Optional): You can add people to the portfolio now, or skip this step if you prefer.
  • Confirm Your Setup: Click on “Confirm.”
  • Access Your New Portfolio: From the top-left corner, select your newly created business portfolio and then go to “Go to Settings.”

Next, select “Other” as the purpose for your app and click “Next.”

Then you have to select the App type Business And click Next to proceed

You have to provide basic information to create an App.

  • Add an app name: Please provide the proper App name of your preference.
  • App contact email: By default it will take your login email address. This email is used to communicate with you about potential policy violations and recover an app if it has been deleted.
  • Business portfolio (Optional): If you have a Business account, then you can select or leave it blank.

After completing these steps you have to add product which is WhatsApp in your app. To Add WhatsApp Click on Set up button.

Add a Phone Number​

To start sending messages to any WhatsApp business number, you need to add a phone number. WhatsApp will provide a test number for testing purposes, but you must add your own number, which hasn’t been used to create a WhatsApp business account before. If your number has been previously used for a WhatsApp personal account, you’ll need to delete that account first.

Please follow the below steps to set up a phone number

  • In your Meta Business app, go to the left menu and click on WhatsApp.
  • Next, click on API Setup.
  • Under Send and receive messages, find the Form section and click on your test number.
  • Click on Add Number.
  • Now, you need to create a WhatsApp Business profile to add your phone number. Then click Next.
  • Enter a phone number to use with WhatsApp. You will need to register a number that’s not already associated with a WhatsApp account. If you want to use a number that’s already associated with a WhatsApp account, Learn how to use a number that’s already on WhatsApp.
  • Click Next to verify your number via text or phone call. It will take few minutes to verify the number.

Phone number ID, WhatsApp Business Account ID & Access Token​

Phone number ID & WhatsApp Business Account ID: On your Meta Business app, in the left menu, click WhatsApp > API Setup. Now copy the Phone number ID & WhatsApp Business Account ID and paste it into integration setting.

Access Token: To get Access Token open your App that you have just created on your Facebook Developer Console. But this is a Temporary Access Token; it will be expired every 24 hours and if the Access Token will expire then the integration will not work. So please follow the steps below to create a Permanent Access Token.

Create Permanent Access Token​

Access Token: To get Permanent Access Token open your App that you have just created on your Facebook Developer Console. And click on mark area.

Then Navigate to System Users under Users and click on Add button. Then click I Accept and then Done.

System Username & Role: Please give the proper Username of your preference. And User Role must be given to Admin. Then click on Create System User. Then click I Accept and then Done

After successfully Creating System User then click Assign Asset and Navigate to Apps and check the App you created for WhatsApp integration and allow Full control. Click the “Save Changes” button to save the process.

Finally, Click on the Generate New Token button to generate a permanent Access Token. Now select App from drop-down option. And give the permission from Available permissions “whatsapp_business_messaging and “whatsapp_business_management. Then click generate Token button.

After Completing these step A Permanent Access Token will be generated, you have to copy the token and paste it into integration setting. And click on Authorize button.

Once you have successfully entered your Phone number IDWhatsApp Business Account ID & Access Token, click “Connect” to proceed.

Once it done back to your integration page and put your Recipient Phone Number and Text Message

Field Mapping: Here, you’ll see a “Map Fields” section where you need to map your form fields to the matching fields in WhatsApp. The “Recipient Phone Number and Text Message” field is required by WhatsApp, so make sure to map your form’s Recipient Phone Number and Text Message field to it. You can also click the “Add Contact Field” button to map additional fields. Additionally, you can enhance your request logic using FlowMathString, and System functions.

When you click the Test Run button, the output will be displayed just above it. However, please note that Test Run results are not recorded in the logs.

You also have the option to test the full flow. You can either click “Listen Response” and then run the trigger event (e.g., submit the form), or use existing data to test the integration and make sure everything works correctly.

After completing all the steps, click the “Logs” icon at the top-right corner of the Flow Builder to view your integration logs. Logs help you verify if the trigger and action worked correctly and make it easier to spot and fix any issues.

That’s it! You’ve successfully set up an automation in Bit Flows to connect Bit Form with WhatsApp. Now, whenever someone submits your form, a new subscriber will be automatically added to your WhatsApp account.
