Tawk.to Integration: Tawk.to lets you add live chat and messaging to your website with an easy-to-use widget, advanced visitor tracking, and smart automation tools. It helps you engage visitors in real time, answer questions instantly, and improve customer satisfaction.

Bit Flows is a WordPress automation plugin that allows you to connect different tools and automate tasks without any coding. It helps businesses build powerful workflow automation by connecting apps and moving data between them automatically.

Step 01: Create a New Integration

First, open your Bit Flows Dashboard, then either create a new flow or open an existing one. In the Flow Builder, first click the plus (+) icon to add a trigger as you wish. In this setup, Tawk.to serves as the trigger and Google Sheets as the action.

Step 02: Select Tawk.to as the Trigger

From the trigger app list, search for Tawk.to and select it.

After selecting Tawk.to, choose the event you want to automate. Now, select your preferred trigger event. In this case, we selected “Chat Start.”

After selecting your event, you’ll be asked to choose a Webhook. Click the “Add webhook” button. When you click the “Add Webhook” button, you’ll be prompted to enter a Webhook Name for your webhook. Simply type in the name and click “Save”.

A new pop-up will appear showing the Callback URL. Now, you need to authorize the Callback URL. If you’re unsure how to do this, follow the step-by-step instructions below.

Step 03: Tawk.to Authorization

  • Go to the Tawk.to dashboard. Select  Administration → Settings → Webhooks. 
  • Now select Create Webhook. Give a name for your Webhook.
  • Then, click the “Your Endpoint URL.” Paste the Callback URL copied from your Bit Flows credentials.
  • Select Chat Start events.
  • Select Save.

Now go to Bit Flows and click the Listen Response button. While the Listen Response button is spinning, submit a chat from your Tawk.to widget.

Once the data fetching is completed, close the pop-up.

Step 04: Add Google Sheets as the Action app

Click the plus (+) icon to add an Action. Click on “Set Action” to choose where the events data should go. In this case, we choose Google Sheets as an Action.

If you select Google Sheets for the action, as we did, you will see the available events. For example, when you click on Google Sheets, the available events are “Add Row” and “Append or Update Row.”

This means that whenever the trigger event runs, a row of your data will be added to Google Sheets. We selected the Add Row event.

Step 05: Google Sheet Authorization

After choosing the “Add Row” event, you will be prompted to select a connection. Click on the “Add connection” button to create a new connection. You will be required to enter your Client ID and Client Secret from your Google Console app.

Additionally, you can set a connection name to easily identify it for future use. If you are unsure how to obtain these credentials, then follow the Google Sheets integrations guide. Remember, for the same Google account, you won’t need to connect again. Next time, simply select the connection from the drop-down list.

Step 06: Field Mapping

After completing authorization, you’ll find a Field Mapping feature. Here, you can link your Tawk.to event fields to the appropriate fields in the Google sheet.

For example:

  • Google Sheets A column → email
  • Google Sheets B column → text
  • Google Sheets C column → time

Once you’ve finished these settings, you can either click the “Test Run” button to check if the integration is working correctly or simply close the pop-up to complete the setup.

Step 07: Test the Full Flow

After setting up the trigger and actions, you can test your flow to verify if the integration is working correctly. To do this, simply click on Test Flow Once. Then, complete the trigger event. In this case, the Tawk.to selected event Submit.

Step 08: Check the Integration Log

After the test, open the Logs section from the top right corner of the flow screen. There, you can verify whether the Trigger and Action worked successfully.

If the log status shows Success, the Tawk.to trigger and Google Sheets action are working correctly. Now, whenever a new chat starts in Tawk.to, Bit Flows will send the mapped chat data to your selected Google Sheet.

You can click Details in the Bit Flows log to review the webhook data, mapped fields, and Google Sheets response.
