How Bit Flows Simplifies Complex Workflow Automation

How complex workflows are holding you back?

  1. Wasting your valuable time on repetitive, time-consuming tasks
  2. Too many errors occurring
  3. Missing deadlines
  4. Extra cost with extra integrations like Zapier does
  5. Extra cost with extra flows

Well, if you can relate to these challenges, you’re in the right place. Today in this blog, I’ll be discussing the struggles of managing complex workflows manually and introducing you to an advanced workflow automation tool named Bit Flows simplifies complex workflow automation, minimizes human errors and extra cost per flow. No extra or hidden fees for per integrations and flows.

Also, make sure you stick to the last, as I’ll be sharing why Bit Flows will be the best option for workflow automation and more. So stay tuned.

But first thing first, let’s learn what workflow automation is, and why it matters.

What is Workflow Automation? Why does it matter?

Why workflow automation is important?

Workflows keep a business running, and automation fuels it to soar. It is as simple as that.

Workflow automation automates complex workflows across an industry using software. Remember, not all tasks are meant to be automated; only repetitive and manual tasks are automated without human intervention.

For example, sending follow-up emails, reminders or generating reports software takes over every repeatable task so you don’t have to do any of them manually.

It can simplify workflows across various industries, such as eCommerce store owners, healthcare departments, HR departments, Customer care services, marketing departments, and many others.

If you want to know how these industries will benefit from automated workflows, you can check out our comprehensive blog on it.

Now, why is it important?

Nowadays, customers prefer quicker and error-free results; this is only possible with an automated system. Moreover, let’s see why you should use workflow automation:

  • Saves Time: Automating monotonous activities can save up to 60% of employee time. Thus giving employees save them extra time to concentrate more on the key goals of the company.

Plus, automation ensures that complex workflows are completed faster and with better accuracy than before.

  • Cut Costs: Automation reduces the need for manual labor which saves both time and money. Moreover, it optimizes resource allocation to ensure that no office members overspend.

This eventually cuts down the overall expenses.

  • Reduces human error: Let’s face the reality, we humans are prone to mistakes. All thanks to automation! Automating workflows makes sure that your system runs like a well-oiled machine without any errors.
  • Enhances team productivity: Have you ever thought about how much time your team spends on repeatable tasks like copy-pasting? On average, employees perform 1000 copy-paste work per week, this is huge!

Automating these boring, time-consuming activities will help your team to invest sufficient time and energy to do other crucial tasks that truly matter. This will lead to enhanced productivity and satisfaction.

Automating workflows not only boosts overall team productivity but also optimizes workflows and increases the efficiency of a system. Having discussed the importance of workflow automation, it’s time to address the underlying challenges companies face with complex workflows.

Challenges with Complex Workflows: What’s Slowing You Down?

Challenges with complex workflows

Let’s face the reality: when workflows become extremely complex, rather than doing good they end up causing harm. It then puts the brakes on the company’s growth.

Come, let’s take a closer look at the struggles employees face now and then while managing complex workflows:

  1. Wasting too much time on recurring tasks: Many studies show that employees lose almost 40% of their working time in tedious and repetitive tasks. These complex workflow tasks include manually entering form data into spreadsheets, waiting for approvals, and generating employee reports.

The concerning point is that a knowledgeable worker would have utilized that time in other productive activities.

  1. Small mistakes can cost big: Complex workflows, like their name, consist of more steps, and the more steps, the higher the risk of losing track.

As employees have too much stuff on their plates, it’s easy to get baffled. This results in missing deadlines, mistakes in inputting data, and forgotten tasks. These mistakes lead to dissatisfied clients, decreased sales, and unnecessary stress.

  1. Difficult to track progress: Complex workflows with too many flow steps make it difficult for team members to keep track of progress. Additionally, identifying bottlenecks becomes frustrating, leading to delays and confusion.
  1. Lack of collaboration: When the team had to deal with complex workflows, they had to work on different platforms. This reduces collaboration between teams.  So important messages often get lost in silos and tasks remain incomplete. All this creates tension among the team and impacts their creativity.
  1. Scaling business becomes challenging: With a growing business, workflows also grow and become more complex. However, complex workflows are difficult to manage manually, and for that we need automation. As the complexity of workflows increases with time, it’ll become harder to scale your business manually.
  1. Unsatisfied employees: As we all know, complex workflows are packed with endless steps, flows, and repetitive tasks. These repetitive tasks are not only draining but also demotivating and kill productivity. Eventually, employees get frustrated and decide to leave. And the moment this happens, the business faces a significant downfall.

Bit flows now has, 80+ integrations (more are on the way, stay tuned!), so the possibilities for automating your workflows are endless. By adding multiple actions, you can form a chain of action events representing complex workflows.

For example, today, I’ll be sending form data to Google Sheets, Jot Form, Telegram, and Hubspot simultaneously using the router tool.

  1. Drag-and-drop each application from the menu and connect with the router that is connected with the Form plugin.
  2. Now, choose the action event you’ll perform from the list. Then, configure the app by giving the required information to ensure that it works perfectly when the flow is executed.

Follow the same process for each platform. See how Bit Flows simplifies complex workflow automation with some simple steps.

Now that you’ve completed the setup of each application, the next step is to map the data. This step is needed to make sure your form data transfers smoothly from the trigger app to all the action modules.

Let me show you can map form data to a spreadsheet.

  1. After forming the connection between Bit Flows and Google Sheets, you can see a list of spreadsheets you’ve created. Simply choose the one you’ll use and start mapping the fields.

For each column, add the values from the form_data tag. These form data are collected from the response captured earlier. Once you’ve completed the mapping, press the close button.

Similarly, map your data in other action modules.

And there you go the setup is complete, now you can send data from the trigger app to all the action apps automatically.
